"Action Plans" are a set of designated tasks that are used to complete a repeatable activity. For example, if you closed a deal, you may have six tasks that you always need to perform every time. By setting up an "Action Plan" for this activity, you can remind yourself about all six tasks, so none are forgotten.  You can import action plans from our pre-defined library, or you can create action plans on your own.

 

Note: Google Calendar Users may be asked to re-verify their credentials.  There is a known issue where you will receive a "This app isn't verified" message during sign in, but this is expected.  You can continue to sign in safely and start using this new functionality.


Import an Action Plan

  • Action Plan Templates for commonly used processes, have been created to use as a starting basis. Any of the templates that you “Import from the Library” can be modified and updated to fit your specific needs.
  • To use a pre-defined action plan, first click on the "+ Action Plan" button, and then select the “Import from Library” item from the sub menu.
  • The "Import Action Plan" pop up will appear.
  • You can search the list of plans by tag, or a specific name in the filter section
  • Once you have identified an interesting action plan, selecting the radial button will present the specific tasks.
  • Click the “Import” button in the bottom right corner, and the action plan will be imported to your list of action plans.
  • You can update any imported action plans to reflect your specific needs. To add/update the tasks associated to the action plan, click on the number next to "Tasks", and see the “Configuring your Action Plan” section.
  • NOTE: The use of Action Plans that incorporate SMS/Text messaging to your contacts, requires additional subscription fees. This can be added directly in the app and will be charged to the registered payment method.


Create an Action Plan

  • To create an Action Plan, from the “Action Plans” page, first click on the "+ Action Plan" button, and then select the “Create Your Own” item from the sub menu.
  • The "Add/Edit Action Plan Details" pop up will appear.
  • Provide a “Name”, “Description”, and the associated “Tags” for the action plan and then click "Save". The “Tags” are used to help mark and filter your action plans.
  • On the “Action Plans” page, the plan you just created will appear.
  • To add/update the tasks associated to the action plan, click on the number next to "Tasks", and see the “Configuring your Action Plan” section.

 


Configuring your Action Plan

  • On the Action Plan tasks configuration page, you will create the template for your action plan. All of the specific tasks (timed appointments, or open-ended To-Dos) that make up the action plan should be added.
  • To add a task, click on the “+ Task” button.
  • In the “Add/Edit Task pop up, add the task you would like to add to the action plan. Provide a short description. If you are creating an open dated To-Do, click on the box next to "This is a To-Do (open dated). If this is a timed/dated task. Provide the number of days after the "trigger date", the task should be performed, and a specific time if necessary.
    • For example, if the action plan is triggered to run on a Monday, if you set the "Due After Days" for three days, the appointment will be set for Thursday.
    • NOTE: Templates for commonly used action plans have been added, please review them for additional ideas on how to set up new action plans
  • On the Action Plan tasks configuration page, you will create the template for your action plan. All of the specific tasks (timed appointments, open-ended To-Dos) or messages (emails, SMS/texts) that make up the action plan process can be configured.
  •  To add a task, click on the “+ Add” button, then “Task” in the sub-menu.
    • In the “Add/Edit Task pop up, add the task you would like to add to the action plan. Provide a short description. If you are creating     an open dated To-Do, click on the box next to "This is a To-Do (open dated). If this is a timed/dated task. Provide the number of days after the "trigger date", the task should be performed, and a specific time if necessary.
    • For example, if the action plan is triggered to run on a Monday, if you set the "Due After Days" for three days, the appointment will be set for Thursday.
  •  To add an email, click on the “+ Add” button, then “Email” in the sub-menu.
    • You can write and edit the content of your email in the “Add Email” pop up.  “Tags” for commonly used fields such as client first name, last name, etc.  are provided t personalize your email response.  
    • To add a “Tag”, you would click on the tag value in the right menu.  The tag will be added to your message, and you can compose the full message around these tags.
  • You would add the date and time you would like the email message to be sent, and who the default owner is, from which the email shall be sent.

 

  • To add an SMS, click on the “+ Add” button, then “SMS” in the sub-menu.
    • You can write and edit the content of your SMS in the “Add SMS” pop up. “Tags” for commonly used fields such as client first name, last name, etc. are provided to personalize your SMS response. SMS messages should be straight and to the point.
    • To add a “Tag”, you would click on the tag value in the right menu. The tag will be added to your message, and you can compose the full message around these tags.
    • You would add the date and time you would like the SMS message to be sent, and who the default owner is, from which the SMS shall be sent.
    • NOTE: The use of Action Plans that incorporate SMS/Text messaging to your contacts, requires additional subscription fees. This can be added directly in the app and will be charged to the registered payment method.



Trigger your Action Plans

  • Once you have finalized all of the steps for your action plan, you can "trigger" it to associate these tasks to specified contacts.
  • From the "Action Plans" page, select the desired action plan, click on the three dot icon in the upper right corner and select "Trigger Plan"


       


  • On the "{Action Plan Name} - Select Contacts" page, select the specific contacts you would want to have this action plan kicked off, or "triggered" on. You can filter and search for your contacts, and can select up to 10 contacts at a time to trigger the action plan upon.
  • After selecting the contacts, confirm they are correct and then select the "Trigger" button.
  • In the "Finalize Action Plan Tasks" pop up. you will select the date on which to "trigger" the plan. The tasks details you provided during the action plan setup will be the basis for the dates. You can still make updates to these final dates/times before finalizing the action plan trigger.
  • Once satisfied with the tasks dates, you can click to "Trigger Plan", and the action plan and associated tasks will be connected to the selected contacts.
  • Once you trigger the action plans, you will be brought to the assignments tab of the specific action plan. Here you can review who, when, and the status for the contacts of whom this action plan has been triggered.
  • NOTE: You can trigger existing action plans from the “Action Plans” page, by clicking on the “Action” button next to the desired Action Plan, and selecting “Trigger Plan”. You can also trigger any action plan from an individual contact’s details page


Pausing an Action Plans

  • Once an action plan has been triggered, you may want to "pause" the workflow before it is completed. 
  • To pause an in-progress action plan, from the "Action Plans" page, select the "Trigger Icon {number} Times" for the desired Action Plan.  
  • This will take you to the Assignments tab of the selected Action Plan.
  • For the contact in question, you can "pause" the action plan in the "Actions" column by selecting the "pause" icon.  You can also un-pause, by selecting the "play" button icon.
