Importing your contacts into Fieldnotes is easy.  Simply email your Excel or CSV (comma separated values) file to Sparky (sparky@fieldnotes.ai) to upload your contacts into Fieldnotes.  Sparky will queue your request for processing and notify you that it has received your request.  Sparky will import the available data from your list into Fieldnotes based on our 'Best Match' algorithm to map to fields within Fieldnotes.  Any duplicates are automatically removed.  Once it has been uploaded, you will receive a confirmation that it has been completed.

The challenge that we often hear from users is how to export their contacts especially when it is in multiple systems.  This is why it is important to consolidate and centralize in one database - Fieldnotes Ai.  While you can sync contacts from your mobile phone contacts, in many cases, there is no direct connection between your contact information and Fieldnotes. If that is the case, you export from one system and then send the list to Sparky.

Here are some ways to export your contacts:

  • Another CRM system
  • Facebook
  • Google Contacts
  • iCloud
  • LinkedIn
  • Apple contacts
  • Outlook Contacts

Another CRM

Most CRMs offer a way to export your contacts as a csv file. Try searching for "export" or "export contacts" in their help center. If you have any issues exporting from your previous CRM, their support team will be able to help you. If you are planning to cancel your account, you should complete the export process and verify the results prior to closing the account.

Facebook

With the recent changes in Facebook, you can download your contacts names only.  While that is limiting, it is still a good step to export the list of contacts and start to categorize the information into your Fieldnotes database.  Take a look at this detail article on exporting your Facebook contacts.

Google Contacts

If you want to use Google Contacts into Fieldnotes, you will need to export this information separately from the normal Google contact sync, as this information does not sync by default. Follow these directions from Google to export.

iCloud

To export, sign in to iCloud and go to Contacts. From the Settings gear, choose Export vCard. If you have any issues exporting from your iCloud Contacts, Apple support will be able to assist you.

You'll need to convert the vCard file to a csv format to import into Fieldnotes. There are a number of conversion options available by searching online for "vCard to csv converter". For whatever option you choose, make sure that you select an option to create a header line or header row in your resulting file. Fieldnotes needs the first row of your csv to include the labels or name of the date.

LinkedIn

To export from LinkedIn, follow these directions and choose a csv file output. If you have any issues exporting from your LinkedIn account, LinkedIn support will be able to assist you.

Apple Contacts

To export, go to File > Export > Export vCard... If you have any issues exporting from your Apple Contacts, Apple support will be able to assist you.

You'll need to convert the vCard file to a csv format to import into Fieldnotes. There are a number of conversion options available by searching online for "vCard to csv converter". For whatever option you choose, make sure that you select an option to create a header line or header row in your resulting file. Outlook Contacts

To export from Outlook, follow these directions from Microsoft. If you have any issues exporting from your Outlook account, reach out to Microsoft.  If you are stuck, you can reach out to us as well. You may not need to export Outlook Contacts if they connect with your mobile phone. However, if you do not see your full set of contacts or if you have additional custom fields, you can export and import.
