Do you need to make your own Action Plan? No problem. This article will walk you through the process of creating an Action Plan.

Create an Action Plan

  1. To start creating an Action Plan, make sure you are on the Action Plan Page (Engagement → Action Plans). From the Menu, click "Add Plan."
  2. Fill in the necessary information, such as the folder to which you want your Action Plan to be saved, as well as the name and description of your Action Plan. (See Action Plan Folder System)
  3. You can also associate tags if you want to be more precise and organized.
  4.  The new Action Plan you created will be saved in the folder you specified. Begin by adding activities (task/appointment, email, SMS) based on your requirements.

Configuring your Action Plan

  • On the Action Plan tasks configuration page, you will create the template for your Action Plan. All of the specific tasks (timed appointments, or open-ended To-Dos) that make up the Action Plan should be added.
  • To add a task, click on the “+ Add” button.
  • Choose if you wish to add a task/appointment which will serve as a reminder to yourself. Or an email or SMS which can be sent to your contacts.
  • This is what the task/appointment would look like (see screenshot below). Set some description to remind you of what the task/appointment is about. If the task/appointment has a certain due date, make sure to take note of that in the "Duration." Otherwise, tick the open dated if there is no due date or specific time you want to be reminded. In this case, you'll always see the task on the right side of your Action Plan.
    • For example, if the action plan is triggered to run on a Monday, if you set the "Due After Days" for three days, the appointment will be set for Thursday.
    • NOTE: Templates for commonly used action plans can be imported from the Action Plan Library.
    • You can select the trigger to occur by a number of days, hours, or minutes after a previous task was completed. Pro Tip: This is useful to select by minutes or hours especially when following up with a new lead.

  •  To add an email, click on the “+ Add” button, then “Email” in the sub-menu.
    • You can write and edit the content of your email in the “Add Email” pop-up.  “Tags” for commonly used fields such as client first name, last name, etc. are provided to personalize your email response. (See Smart Tags)
    • To add a “Tag”, you would click on the smart tags. The tag will be added to your message, and you can compose the full message around these tags.
  • You would add the date and time you would like the email message to be sent, and who the default owner is, from which the email shall be sent.

To add an SMS, click on the “+ Add” button, then “SMS” in the sub-menu.

  • You can write and edit the content of your SMS in the “Add SMS” pop-up. “Tags” for commonly used fields such as client first name, last name, etc. are provided to personalize your SMS response. SMS messages should be straight and to the point.
  • To add a “Tag”, you would click on the tag value in the right menu. The tag will be added to your message, and you can compose the full message around these tags.
  • You would add the date and time you would like the SMS message to be sent, and who the default owner is, from which the SMS shall be sent.
  • NOTE: The use of Action Plans that incorporate SMS/Text messages to your contacts, requires additional subscription fees. This can be added directly to the app and will be charged to the registered payment method.

Trigger your Action Plans

Part of configuring your Action Plan/s is to set and "trigger" it automatically so you can do the more important things which are talking to potential/interested clients and of course, closing deals.

There are numerous ways to activate your Action Plan, depending on your preferences, the type of Action Plan, and the types of leads you have. This will be covered in detail in the following articles.
